MTR: The future of meeting rooms at Commsverse 2024

At Intellity, we place great importance on always finding the best solutions for our customers. Our Junior Support Engineer, Nils Hertel, demonstrated the integration of
Microsoft Teams Rooms (MTR) in Microsoft Teams. In this article, Nils shares his findings and shows how MTR makes meetings more efficient and flexible.

Seamless MTR integration

I was deeply impressed by the integration of Microsoft Teams Rooms (MTR) into Microsoft Teams. This integration enables a consistent and seamless design of meetings. Features such as proximity join allow the use of a room while already in a meeting. This allows users to walk into a meeting room during a meeting to use its peripherals. By supporting various device platforms, such as Windows and Android, MTR offers a flexible and scalable solution for companies of all sizes.

Improved collaboration

One outstanding benefit of MTR is the promotion of collaboration. The comprehensive features enable the sharing of content in real time via Microsoft Whiteboard, which is integrated into MTR and supports both touch and pen input. The use of interactive whiteboards allows complex ideas to be presented visually and worked on together. Features such as PowerPoint Live make it possible to control presentations directly within teams without having to switch between applications. Virtual backgrounds and dynamic layouts help to create a professional and appealing meeting environment by automatically focusing on the speaker and hiding distracting elements.

State-of-the-art interior design

At Commsverse, I was able to inspect the latest hardware solutions for MTR. Particularly impressive were intelligent cameras that use AI technology to automatically track the speaker and identify participants using facial recognition. High-resolution touchboards with 4K resolution, such as the Yealink MeetingBoard 65, promote interactivity and enable precise input. The integration of IoT sensors to record room occupancy data and environmental conditions, such as temperature and air quality, ensure optimized room utilization and a pleasant meeting climate. These innovative devices ensure that meeting rooms are equipped with the latest technology, which further increases the quality and user satisfaction of the meetings.

Artificial intelligence in action

While last year the focus was on Microsoft Viva in addition to MTRs, this year Microsoft Copilot was the second major topic of Commsverse 2024. Artificial intelligence is playing an increasingly important role in our meeting rooms. One highlight was the presentation of Copilot, an AI technology that I was able to test myself. Copilot uses machine learning to create automatic transcriptions and translations in real time, which makes communication between international teams much easier. By integrating NLP (Natural Language Processing), Copilot can also extract summaries and action points from meetings and integrate them directly into the relevant channels or task lists. These AI tools help to optimize meetings and increase productivity by automating administrative tasks and enabling focus on the essential content.

Best practices and strategic considerations

During the sessions, I gained valuable insight from experts on how to best use MTR. It was not just about technical aspects, but also strategic considerations such as the ideal room design and the protection of sensitive data. For example, it is recommended to equip rooms with acoustic dampening elements to improve audio quality, as well as flexible furniture to support different meeting types. The protection of sensitive data is ensured by using end-to-end encryption and implementing security policies that regulate access to meeting content. These best practices are crucial to reaping the full benefits of MTR and ensuring that our meeting rooms are both efficient and secure.

Overall, attending Commsverse 2024 was an extremely rewarding experience. I'm excited to apply what I've learned to our customers and help shape the future of meeting rooms. The combination of cutting-edge technology, improved collaboration capabilities and thoughtful best practices promises an exciting evolution in the way we hold meetings.
